SEO agency or full-service partner? Why who answers the lead matters more than who generates it

· 3 min read

Short answer: most senior living marketing agencies run SEO and ads, then hand the inquiry to your community. A turnkey partner also answers the call, qualifies the family, follows up and books the tour. That matters because response speed is where most inquiries are won or lost: in one 2023 review of senior living mystery shops, more than half of web inquiries got no response within two hours. I see the same thing when I call communities and fill out their forms myself.

What happens when you call a senior living community?

I call senior living communities the same way a family would. Again and again, the phone rings out or goes to voicemail. I leave a message and wait. Often, no one calls back.

I fill out the forms on their websites too, and I don’t get many follow-ups. When a reply does come, you can often tell there’s no human connection behind it.

If that happens to me, it happens to the daughter calling on her lunch break about her mom. She doesn’t wait. She calls the next community on her list, and the one that answers is the one she tours.

Communities rarely lose those families because their marketing failed. The family found them. They lose them because no one answered. That’s why lead handling is part of everything we do at Care Growth.

What does a typical senior living SEO and ads agency do?

A typical agency drives demand. It builds or improves your website, runs Google and Facebook ads, works on local SEO and your Google Business Profile, and reports on clicks, calls and form fills.

That work matters. But the agency’s job usually ends when the inquiry arrives. From there, the lead goes to your community: a sales director juggling tours, a front desk covering phones, or an inbox checked between move-ins. The agency is measured on leads. Your census is measured on move-ins. The gap between those two numbers is where occupancy is lost.

What happens to a senior living inquiry after it comes in?

Usually, not enough, and not fast enough. Bild & Co., a senior living marketing consultancy, analyzed more than 250 web and phone mystery shops of senior living communities during 2023. It found:

  • 53% of web inquiries got no response within two hours.
  • 13% of mystery shop calls never received a response at all.
  • 17% of calls were blind-transferred to voicemail.
  • The inquiry-to-tour conversion rate was 22%.

Source: Bild & Co. data reported by Senior Housing News, February 12, 2024. Families researching care rarely contact just one community. One operator quoted in the same report described a new inquiry as a senior living “911 call.”

How much does response speed really matter?

A lot, and the research is consistent.

  • The first hour matters most. A Harvard Business Review study of 2,241 U.S. companies found that firms that responded to an online lead within an hour were nearly seven times more likely to qualify it than firms that waited even one hour longer, and more than 60 times more likely than firms that waited 24 hours or more. The average response time among firms that responded at all was 42 hours.
  • Minutes beat half-hours. An earlier lead response study by James Oldroyd with InsideSales.com reported that the odds of reaching a lead were about 100 times higher when the first call came within 5 minutes rather than 30, and the odds of qualifying it about 21 times higher. That study used vendor data analyzed by an academic, not a peer-reviewed paper.

Neither study was specific to senior living. But the senior living mystery-shop data above shows the industry’s response times sit well outside that first hour.

What does a turnkey senior living marketing partner do differently?

A turnkey partner owns the whole path, from first search to booked tour:

  • Brings the family in: website, SEO and AI search, Google Business Profile and paid ads, the same services a good agency offers.
  • Answers fast: a dedicated account manager on our team calls new inquiries within minutes, not hours.
  • Qualifies the family: care needs, timing and fit, so your team isn’t spending tours on the wrong prospects.
  • Follows up: families who aren’t ready today get patient follow-up. Memory care decisions often take months.
  • Books the tour: straight onto your calendar, with notes, so your team walks in prepared.

At Care Growth this is how our lead handling works, inside a six-service system where every channel feeds the same team. For one community, that approach added $21,000 a month in move-in revenue within three months.

Is a turnkey partner right for every community?

Not always. An honest way to decide:

  • An SEO and ads agency may be enough if you already have a staffed sales team that answers every inquiry within minutes, seven days a week, and follows up until each family decides.
  • A turnkey partner makes sense if inquiries wait on a busy sales director, go to voicemail after hours, or get one callback and then stop, or if you’re paying for leads you can’t prove became tours.

Try what I do: call your own community this week, and submit an inquiry on your own website. Time how long it takes for a real person to answer, and count how many times anyone follows up.

Questions operators ask

Doesn’t my ads agency already handle leads?

Most send leads to you through a form, email or CRM. Ask them directly: who calls the family, how fast, and how many times?

Will a turnkey partner replace my sales director?

No. We book the tour. Your team gives the tour and builds the relationship.

How fast is fast enough?

The research points to minutes, not hours. The first hour is where the biggest drop happens.

Do you guarantee move-ins?

We don’t promise a specific number of leads, tours, rankings, or move-ins. If a resident placed through Care Growth moves out within 30 days, we credit that fee back. We report honestly on every lead, tour, and move-in.
